Sections of an Invoice
The body of your invoice is split into two main sections.
- Charges from the previous month
- Claims
- Faxing
- Assisted Billing Fees
- Prorated Charges
- Charges for next month
- Home Education Platform
- User Fees
Types of Charges
SMS Reminder Fees
Text reminders are charged per reminder sent. Your invoice will show the total text reminders sent and the total charges.
IMPORTANT: Before sending an SMS Text Reminder, you must obtain consent. To learn more please refer to our Appointment Reminders article.
AMA CPT License Fees
The American Medical Association owns the rights to all CPT® (current procedural terminology) codes and is enforcing the collection of licensing fees.
Charges will be shown for each unique user who has had a checked-in appointment on the schedule. As new users are included, the pro-rated fee will appear in the invoice for the next corresponding month.
Faxing
Faxing is split into two tiers. The first tier includes 150 free pages, and the second includes fees for additional pages.
Claims
Claims are charged per submission. Your invoice will display a count of all submissions, the unit price, and the total charge.
Assisted Billing Fees
If you are an assisted billing customer, you will have a line for assisted billing fees.
- The Qty is the sum of all payer payments added or updated in the previous month. Each payer payment is rounded to the nearest dollar before being added.
- The Unit Price is the percent of payer payments that you pay ($0.05 = 5%).
Home Education Platform
The Home Education Platform is billed as a flat fee for the next month. Regardless of the number of users on your account, the Qty will always be 1.
User Fees
User Fees are tiered based on your plan and the number of users on your account. All standard multi-user plans have a flat fee for the first 5 users, and a unit price for each additional user over 5. This is split into 3 lines on your invoice as shown below.
Prorated Fees
When your billable user count changes (add a new user, reactivate an old user, or the end of a free student period), two line items will be added to your invoice. One line will be labeled "Unused time for..." and the other will be labeled "Remaining time on..."
- Unused time is the remaining amount of what you prepaid at the start of the month for users.
- Remaining time is the charge for the new user count for the remainder of the month.
- Add these two numbers to see the prorated fee for the new user.
Example of Prorated User Fees
- On the first of the month, the clinic paid for 11 users.
- A new user was added on the 3rd of the month.
- The unused time for those 11 users was credited back to the account.
- The remaining time for the 12 users was added to the account.
- The sum of these two lines is the prorated fee.
